Invoices
Checking an invoice's lines
In this page
An invoice's page compares every line with the till. Each line wears a status, and its button is the job that line needs. Other choices open with a right-click, a long press, or the keyboard's Menu key.
The line statuses
OK: the line matches the till.
Price diff: the supplier's price is not the till's.
Promo: the price is a promotion.
New: the till doesn't have this product yet.
Inactive: the product is switched off in the till, so its price is not a live comparison.
Awaiting shop PC: the shop PC was off when the invoice came. The line fills in when it is back.
Update price
On a Price diff line, press Update price when the new price is permanent. If the line is a deal, the button is Create promotion instead, and Update price is in the menu.
Connect
A New line may be a product you already have under another code. Press Connect and pick it; the menu calls it Connect to a product. Change connection moves a line to another product, and Remove connection undoes a wrong one. A product that really is new is added with Add to POS.
On an Inactive line, press Resolve inactive to say whether this delivery is still that product.
What arrived instead
When the van brings a different product, or one line is really several products, goods in says so. A manager approves it on the invoice line. The bill stays as printed; only the stock follows what came.
Lines that aren't stock
Delivery charges and services are not products. Choose Mark as not stock and pick what kind it is. A code you mark the same way on three invoices becomes a rule by itself. The rules are in Settings › Invoices & sources. A raised delivery charge still shows as a Price diff.
The totals
The totals box checks that the lines add up to the invoice's own total. When they do, the invoice is reconciled: stock can be booked and it can go to QuickBooks. If they don't, see When an invoice won't parse.
