Sending invoices to QuickBooks

Once QuickBooks is connected, every finished invoice becomes a bill there, and every credit note a vendor credit. The QuickBooks queue shows where each one stands. Nothing goes while an invoice still has a question open or is still being read.

The queue

The queue has four views:

• Ready to send: finished and waiting to go.

• Waiting on something: each row says what it waits for.

• Sent: in QuickBooks. Isletek checks it again when you open the invoice.

• Problems: QuickBooks refused it, with the reason.

Suppliers and vendors

Each supplier must be matched to a vendor in QuickBooks, in the QuickBooks app's Settings tab. A row waiting for its vendor takes you to the supplier's Accounting section. If a vendor was deleted in QuickBooks, the row says so: pick another, or press Create. Create uses a vendor with the same name if QuickBooks already has one. A renamed vendor is followed by itself. A vendor made in QuickBooks under the supplier's own name is linked by itself. Once a supplier is matched, the invoices waiting on it go at once.

VAT

A bill is split by VAT rate and keeps the invoice's own VAT to the penny. If QuickBooks works the VAT out a few pence differently, the invoice says what to set the VAT on the bill to.

Lines that aren't stock

Everything posts to your cost-of-goods account unless you ask otherwise. You can send each kind of non-stock line, such as delivery charges or services, to its own account. You can also give one supplier its own account in its Accounting section; that comes first.

Import from QuickBooks

When your QuickBooks has vendors that aren't suppliers in Isletek, it says how many, with Import from QuickBooks…. Each vendor is linked to the supplier it most likely is, or added as a new service supplier. This is for the shop admin.
