Invoices
Invoices that arrive by email
In this page
Isletek can pick up invoices from your shop's mailbox, so nobody has to forward them. It checks the mailbox every 15 minutes and files each invoice under its supplier. It never marks your emails as read.
The mailbox
Connect the shop's mailbox once, from Mailbox in the New menu. If the mailbox stops answering, the bell rings.
How Isletek knows it's an invoice
Each supplier has its own rules, in the supplier's settings. Recognise their emails by takes the sender's address or the sender's name from the From line. You can add rules on who it was sent to, the subject or the words inside. A rule needs at least four characters. A rule can also leave mail out, for example anything that says "statement". The supplier's contact addresses count too. Your own shop address never does.
When you add a supplier, Their invoices come from sets the first rule for you.
One email, one supplier
Each email belongs to one supplier only: the first rule that matches it. Sender rules are tried first, then who it was sent to, then the subject, then the words inside. Keep rules specific, or one supplier's rule can catch another's email.
When an email is missed
First check the supplier's rule against the email's From line. A rule that holds the supplier's name stops matching when they change their name.
Then look back for it. Import older invoices, on the mailbox's page, looks back for every supplier: pick the days and press Run.
